but I can answer the question none-the-less -- every BoD that I have been involved with has looked for ways to eliminate waste & cut costs. We cut down the number of convention CD's (we produce these because it is an important part of fulfilling our obligation as a 501(c)3 Not-for-Profit educational corporation, cut-out manufacture / purchase of items that do not sell, cut costs associated with our quarterly magazine, cut out fringe costs, cut down on the costs associated with the convention medals & tokens...even cut costs tremendously this year concerning our mid-year BoD meeting.
With regards to your question concerning the proceeds of the Club's auction, these funds are ALL applied against the total cost of the convention, including those funds generated by sales of club promo items. As I had noted previously, the order for the tee shirts was placed based upon past sales. We cannot judge how well a particular item or design might be received by our members & can only base our judgement on past history -- which unfortunately has proven to be that we have a bunch left over. So, if next year, we order thirty more than this year & the members don't like the design, we're stuck again. THAT is a waste of money, in my opinion -- and I don't care if it is only a few hundred dollars.
Sorry, Chuck...
